Data Retention Policy

This policy explains how long RosterLoop retains customer data.
Active Accounts
RosterLoop retains scheduling data, user information, and system logs for active accounts as long as the subscription remains active.
Cancelled Accounts
When a customer cancels their subscription:

The account is placed in read-only mode

Data remains available for export or reactivation
RosterLoop retains customer data for 60 days after account cancellation.
During this period, customers may:

reactivate their subscription

export their data
After 60 days, all customer data is permanently deleted from the primary system.
Payment Failure
If payment fails:

customers will receive email notifications
-
the system will attempt to retry the payment
If payment is not resolved, the account may be restricted or cancelled.
Backups
Data may remain in encrypted backups for up to 30 additional days before being permanently removed.
Data Export
Customers may export their data in standard formats such as CSV or Excel during the retention period.
Permanent Deletion
After the retention period expires, RosterLoop permanently deletes all associated customer data.
Deleted data cannot be recovered.
